How to Setup your Windows Address Book:

When using Outlook Express, you may have noticed a button at the top that reads "Address Book". If you click on this button, you are presented with the window shown below.

 

Now you can start to add people to your address book. You can add almost any type of information related to the person in your address book like email address', mailing address', phone numbers for work and home and contact names.

To add your first contact, all you will need to do is click on the New Contact button at the top of this window. From the new window, you will see several tabs at the top that read "Personal/Home/Business/Other/NetMeeting/Digital Id's". Now you can start by typing in all the information that you have for your first contact. When you are finished entering in the information, just click on the "OK" button located at the bottom of the window.

That's all there is to adding a contact to your Windows Address Book! You can add as many or as few contacts you would like to your address book!

 

Now that you have contacts in your address book, it's time to make the address book work for you! When you are creating a new email message, in the Toolbar you will see an icon that looks like this...

If you double click on this, it will open a new window that looks like the one below.

Now you can select just one person to send your message to, or everyone on the list. To do this, select one of the contacts in your list on the lefthand side (the larger window) and click the "To: ->" button. Now you should have the name that you selected on the right side in the top window. Now just click on the "OK" button on the bottom. You now should see the contact that you selected in the "to" field. That's all there is to using your Address Book in Outlook Express.

Address Sorting Options

How to change the order in which names appear in the Windows Address Book:
one way to do this is to click on View | Sort by and you'll see a number of options -- Name, E-Mail Address, Business Phone, Home Phone.
Having selected Name, you have two other options, Last Name or First Name.
Finally, for all selections, the sorting can be Ascending or Descending.

There is a far easier way, which is consistent with how you sort other "lists" in Windows:
If you want to sort by E-Mail address, simply click on that column.
To toggle between Ascending and Descending, click on that column (or the column of your choice) again (and again to toggle back).

On the Name column, there are four "toggle states" - just keep clicking that column heading to flip through these "sort" states:

  • Sort by first name ascending
  • Sort by first name descending
  • Sort by last name ascending
  • Sort by last name descending


The above rules also apply to the "Select Recipients" dialog box.

Aliases or Nicknames

Outlook Express and the Windows Address Book do support Aliases or Nicknames.
Open your Windows Address Book and on the toolbar, click on the New Contact radio button.
You can enter the alias in the "Nickname" field and then select that Nickname or Alias in the Display pull down menu box.

Editing Contact Information

To edit a contact in your Windows Address Book, you can choose from any one of the following methods:

  1. The most obvious way is to double click a contact's name (or select the name and click Properties) in the main Windows Address Book window.
  2. Another way is to open a message (by double clicking it) and then double clicking on the sender's name to view his/her properties; if that person is already in your Address Book, you'll be able to edit that contact from there (otherwise, use "Add to Address Book").
  3. This method is quite useful but not as obvious. Launch a new message and in the resulting Compose Message window, click the little card icon next to the "To:" field. You'll be given a list of all your contacts. From there, right-click a contact, and choose Properties. Outlook Express will give you the option of editing here too. (Double-clicking a name in this list won't work because double clicking will add that name to the To: recipient list.)
